JOB POSTING: Programming Coordinator

Gallery Gachet is seeking a motivated, creative individual who will work collaboratively with the staff/Collective team to develop, support and implement the exhibition and public education program and related communications.

Gallery Gachet is a dynamic collectively-run arts production, education and presentation space located in Vancouver’s Downtown Eastside (DTES). Named after Vincent van Gogh’s homeopathic doctor, Gallery Gachet provides artists marginalized by their mental health, trauma or abuse experience with opportunities to produce, exhibit, curate, perform, read, teach and to develop their leadership skills. Founded in 1994, Gallery Gachet strives to provide a focal point for dialogue amongst outsider, contemporary and community-engaged artists, in order to advance the artistic discourse around their day-to-day issues. We aim to use the canvas of the outside world to educate and demystify the public on issues related to mental health and abuse.

Job duties:

  • Support the Collective and Committees to develop and implement all programming and communications procedures and practices. Provide particular support to Programming and Communications Committees.
  • Communicate with and support artists and/or curators with overall promotion strategies & direction for exhibition or public education programs, with assistance from the Programming Committee and Communications Committee.
  • Provide or coordinate the design and production of marketing materials. Provide feedback and/or editing support for artists and curatorial statements and text.
  • Coordinate production, placement, and timely distribution of publicity and advertising materials.
  • Coordinate media relations, as well as supporting members to liaise with media.
  • Identify opportunities for both private and public funding sources for the organization, including existing federal, provincial and municipal grant programs, corporate sponsorships and/or partnerships, and foundations. Apply for grants and funding programs as required and approved by the Collective, in conjunction with the Administrative Coordinator.
  • In consultation with Collective and committees, initiate and implement outreach opportunities and special projects with various sectors (mental health, Downtown Eastside community, culture), to advance the overall profile, positioning, and mandate.
  • Based on a mentorship model, coordinate and support initiatives that advance Collective, volunteer and community members professional arts practices and development.
  • Ensure the proper documentation of exhibitions, special events and projects.

Preferred Knowledge, Abilities & Skills:

  • Knowledge and/or experience in the programming and operations of artist-run centers, as well as knowledge of issues related to mental health.
  • Interest and experience in working in a collaborative manner with staff team and Collective members.
  • May have experience working in non-profit or grassroots community organizations, and may have knowledge of collective, empowerment, and capacity-building models.
  • Ability to exercise considerable independent judgment and action in performing all aspects of the work.
  • Ability to perform duties with little or no direction, be a self-starter and self-motivated.
  • Demonstrated marketing, communications and promotional skills.
  • Experience with fundraising and grant-writing for not-for-profit organizations.
  • Sound knowledge of office procedures and record management; ability to prepare and maintain reports and correspondence related to the work.
  • Excellent organizational, communication and time management skills.
  • Must be able to operate all office equipment.
  • Must have strong computer skills with a variety of software (Word, Adobe CS suite, Acrobat, and/or other relevant graphic programs) and knowledge of online social media tools like facebook, twitter, blogging, etc.
  • May have experience with web design, including drupal (not necessary).
  • May have an understanding of creative technology within an artist-run centre context.
  • May have knowledge or experience with mental health or disability issues.
  • Mentorship, curatorial and graphic design skills an asset.
  • Must be able to work focused and independently in a sometimes-hectic environment, as well as working collaboratively with member artists and staff, as well as partnering organizations.

Authority:

  • The Programming Coordinator is accountable to the Collective and reports to the Administrative Coordinator.
  • Reports to Human Resources Committee on an as-needed basis.
  • Annual performance reviews shall be carried out by the Human Resources Committee. An annual review of the membership and Collective will be conducted at approximately the same time as the staff review is conducted.  Consideration of changes and adjustments to job descriptions and Collective duties will be done at this time.

Remuneration:

The Programming Coordinator will be paid $23.56/hr, with a work week of 30 hours. One year contract (renewable), with three month probationary period.

This includes administrative support for the facility management and planning, public programs, exhibitions, workshops, publications, member and public services, and general committee work.

Job Duties:

  • Support the Collective and Committees to develop and implement all operational, administrative and organizational procedures and practices. Provide particular support to Finance, HR  and Studio Committees.
  • Provide administrative support for Gallery Gachet programming and services.
  • Provide administrative support for all facility-related maintenance and operations, office equipment, and arts production equipment and resources.
  • Coordinate all paid Gallery staff, including contract positions, in consultation with the Human Resources Committee.
  • In consultation with Finance Committee, preparation of annual program and budget reports to funders and overseeing of budget administration throughout fiscal year (in conjunction with Programming Coordinator).
  • Identify opportunities for both private and public funding sources for the organization, including existing federal, provincial and municipal grant programs, corporate sponsorships and/or partnerships, and foundations. Apply for grants and funding programs as required and approved by the Collective, in conjunction with the Programming Coordinator.
  • Preparation and maintenance of all Gallery-related records including: administrative files, computer files and programs, membership records, lease and insurance documents, exhibition documentation, Committee and Collective minutes, and other needed documentation reports and/or forms, such as evaluation and statistical reports to funders.
  • Maintain archives of Gallery Gachet programs, including documentation and printed materials from exhibitions, special events, and projects, with support from the Programming Coordinator, Programming and Communications Committees.
  • Coordinate maintenance of all databases with Filemaker Pro, with support from the Volunteer Coordinator and Membership Committee.
  • As required, attend Finance and Studio Committee meetings, and support members to conduct Committee business.
  • Provide support for Collective, Programming Coordinator, Volunteer Coordinator, and Bookkeeper on an as-needed basis.
  • Assist members in planning support for special events and opening receptions. Provide administrative support for rental events and meetings.
  • Respond to inquiries from the general public for information.

Preferred Knowledge, Abilities & Skills:

  • Demonstrated administrative skills and experience working within the arts and culture sectors (possibly with artist-run centre).
  • Interest and experience in working in a collaborative manner with staff team and Collective members.
  • May have experience working in non-profit or grassroots community organizations, and may have knowledge of collective, empowerment, and capacity-building models.
  • Have knowledge of mental health issues, or be willing to receive some training in mental health services delivery.
  • Ability to perform duties with little or no direction, be a self-starter and self-motivated.
  • Ability to multi-task, function effectively and within deadlines.
  • Knowledge of budgetary practices and maintenance; some knowledge of relevant accounting/bookkeeping procedures.
  • Experience with fundraising and grant-writing for not-for-profit organizations.
  • Effective communicator, and may have conflict resolution experience.
  • Must be able to operate all office equipment and a variety of PC or Mac software programs.
  • Be resourceful, with very strong communication and organization skills.
